One conference, up to 600 guests, a new world every year

Role
Sole creative and decision-making authority
Scale
$1M budget, up to 600 attendees, planned 18 to 24 months out

The Problem:

The annual customer conference was Potter’s most important event. It set up the year’s sales goals and product timeline expectations for up to 600 customers and sponsors, so the delivery of those messages was critical.

How I think about itAn event should change as fast as the company it represents.

Potter was growing and changing quickly, and what it needed to say to customers shifted every year. So each conference built on the successes of the years before it, factored in the feedback we received, and adapted to the challenges unique to the next event, with its own theme, identity, and on-site experience.

I owned the event end to end: city and venue selection, hotel and vendor contracts, theme and messaging, session content, the full million-dollar budget, and the on-site experience. Most of that budget is committed before any creative decision, so discipline on fixed costs is what funds the choices that matter.

Still from the conference hype video, dice rolling across a casino table
Example “Hype” video played before the general session in 2025. Developed and produced in-house.

Everything built toward the general session, the one time every attendee is in a single room. It opened with a hype video that carried the whole theme in a few minutes, and I directed the session live from the tech table, from house lights to the handoff into executive presentations supported by decks and video produced in-house.

We also measured what the conference was worth. We closely tracked revenue across dealers who attended and dealers who did not, and saw larger growth in the dealers who attended. We attribute that to the direct, hands-on relationship building, communication, and feedback loop the conference provides.

When leadership favored an off-the-shelf event platform, research and two trials showed it would constrain the bespoke experience the event depended on. We built our own instead, a decision covered on the platforms page.

A new brand every year

Each conference starts with the message, and the message becomes a theme with its own name, mark, and visual world. That identity is then built out at full scale, across the hype video, the stage, the session graphics, and the hotel itself, so guests are inside the theme from the moment they arrive.

  • Cover of the conference theme style guide, with the New Frontiers badge on a starfield
  • Brand colors page: red, three blues, gray, sand, and white with Pantone, RGB, and hex values
  • Typography page: heading and body type styles and the text colors for each background
  • Logo page: the main logo, a version without the date, a one-color logo, and the arched title
  • Logo use page: every logo version shown on white, dark blue, bright blue, and red
  • Design elements page: starfield, rocket exhaust, earth, badge stripe, and conference text
A conference theme is used for one event and then retired, but it is defined and applied with the same care as any lasting brand identity. Click each page for a closer look.

The experience on site is where we chose to spend. Guests should enjoy themselves and still know, at every moment, what is happening, when, where, and with whom. So the theme carried through the wayfinding, signage, and environmental design of the whole venue, and attendees and sponsors consistently describe the event as the best run and best communicated they attend.
